## Introduction

The purpose of this handbook page is to describe how to utilize [Google Calendar Delegation](https://support.google.com/a/users/answer/168126?hl=en#:~:text=When%20you%20set%20up%20mail,parts%20of%20your%20account%E2%80%8B.). Google Calendar delegation gives the ability to for a team member to access
another team member's Google Calendar.

There are different [Levels of Permissions](https://support.google.com/a/users/answer/37082#Delegate_Calendar&zippy=%2Cunderstand-permission-settings-for-shared-calendars) that can be assigned to Google Calendar Delegation.

## How to Add A Google Calendar Delegate

### Using `calendar.google.com`

1. Log into `calendar.google.com` with your GitLab email address

1. In the top right click on the `Gear` icon to go into the [Google Calendar Settings](https://support.google.com/calendar/answer/6084644?hl=en&co=GENIE.Platform%3DAndroid)

1. Select your calendar under the `Settings for my calendars`

1. Under your calendar settings drop down menu select `Share with specific people`<br>

1. Select `+ Add People`

1. Add the email addresses of the individual to share your calendar with.<br>

1. Select the `Permissions` drop down menu and give the individual the appropriate access. Please refer to [Calendar Permission Levels](#calendar-permission-levels)<br>

1. Select `Send`

### Calendar Permission Levels

- `See only free/busy (hide details)` - The team member will only be able to see if you are free or busy on the calendar

- `See all event details` - The team member will be able to see all of your calendar events, but will not be able to edit them

- `Make changes to events` - The team member will be able to edit your calendar events. They will also gain the ability to edit the event details.

- `Make changes and manage sharing` - The team member will be able to edit your calendar events. They will also gain the ability to edit the event details. They will also gain the ability to change your calendar sharing settings.

## How To Access Google Calendar Delegation

### Using `calendar.google.com`

1. Log into `calendar.google.com` with your GitLab email address

1. On the left-hand side menu bar navigate to `Other calendars` and click on the `+` symbol to `Subscribe to calendar`<br>

1. Search for the team member whose calendar you want to subscribe to<br>

1. Now when you go back to your calendar you will see the team members calendar under `My calendars`

1. Depending on the permissions the team member has given you, you will be able to either `view` or `view and edit` their calendar events

## Introduction

The purpose of this handbook page is to describe how to utilize [Google Drive Sharing](https://support.google.com/drive/answer/2494822?hl=en&ref_topic=7000947). Google Drive sharing gives the ability to access another team members [Google Drive File](https://support.google.com/drive/answer/2494822?hl=en&ref_topic=7000947) or [Google Drive Folder](https://support.google.com/drive/answer/7166529?hl=en&co=GENIE.Platform%3DDesktop) that is stored in their `My Drive`.

There are different [Levels of Permissions](https://support.google.com/drive/answer/2494822?hl=en&co=GENIE.Platform%3DDesktop#zippy=%2Cchoose-if-people-can-view-comment-or-edit) that can be assigned to Google Drive Sharing.

## How to Share Google Drive Files

### Using `drive.google.com`

1. Log into [drive.google.com](https://drive.google.com) with your GitLab email address

1. Navigate to the file or folder you wish to share

1. `Right Click` on the file or folder

1. Select `Share`<br>

1. Add the email address of the individual(s) you wish to share the file or folder with<br>

1. Utilize the dropdown menu to the right of the email address to select the permission level to grant the individual(s)

1. Select the `Notify people` if you wish for the individual(s) to receive an email informing them of their new access to the file or folder.

1. Select the `Send` Button

1. You will now see the ![Google Drive File Shared Icon](/images/it/end-user-services/how-to-articles/google-workspace/google-drive-sharing/google_drive_file_shared_icon.png) next to the shared file or folder

## How to Access Shared Google Drive Files

### Using `drive.google.com`

1. Log into [drive.google.com](https://drive.google.com) with your GitLab email address

1. In the left-hand side menu bar select `Shared with me`
    - This will show you all documents that are shared with you including documents from `Shared Drives`
    - By default, the documents are listed in descending order of when the document was shared with you.<br>

1. Utilizing the `Search in Drive` search bar at the top center of `drive.google.com` search for the team member whose files you wish to find that are shared with you.
    - When you click in the search bar it will populate a list of users who have recently shared documents with you. If the team member appears in this list you can select them here or continue to type in their email in the search bar<br>

1. Type in the email address of the team member whose files you wish to find<br>

1. Select the team member when it populates.
    - This will prepend `owner:` to the search result.
    - If the email address does not show you will have to manually add `owner:` in the search bar. i.e. `owner:alibby@example.com`<br>

1. All documents that are shared with you by the team member will now populate in the `Search results`
    - You can add filters as needed to search for a specific file.

## Google Drive Permission Levels

There are three levels of permissions when sharing a file from `My Drive`

- `Viewer` - People can view, but can't change or share the file with others

- `Commenter` - People can make comments and suggestions, but can't change or share the file with others

- `Editor` - People can make changes, accept or reject suggestions, and share the file with others

## Calendar Access Requests

You can use [this AR template](https://gitlab.com/gitlab-com/team-member-epics/access-requests/-/issues/new?description_template=Google_Calendar_Request) to request the following:

- Deletion of a calendar event
- Access to someone's calendar

## Create a Calendar Event

1. Open [Calendar](http://calendar.google.com)
1. On the top-left of the screen, click on the `+ Create` button, followed by `Event`
    1. Alternatively you can also click directly on the time-slot where you'd like to schedule the event
1. Customize the event by specifying a title, adding guests, and selecting which video conferencing option you'd like to use

## Create Out of Office Events

1. Open [Calendar](http://calendar.google.com)
1. On the top-left of the screen, click on the `+ Create` button, followed by `Out of office`
1. Specify the timeframe for the Out of office event
1. Specify how you would like to handle meeting invites while you are out of office

## Access Permissions for Events

1. Open [Calendar](http://calendar.google.com)
1. Open the [Settings](https://calendar.google.com/calendar/u/0/r/settings?pli=1) by clicking on the gear icon near the top-right of the screen, followed by `Settings`
1. On the left-hand-side, under `Settings for my calendars` select the calendar you want to modify the visibility settings for
1. Click on `Calendar settings` followed by `+ Add people and groups`
1. Under `Access permissions for events` you can modify how people inside of GitLab and external partners can view your events

  <p>It is not possible to share a detailed view of your primary calendar's events with people outside of GitLab (i.e no @gitlab.com email address)</p>

## Set Up Calendar Delegation

1. Open [Calendar](http://calendar.google.com)
1. Open the [Settings](https://calendar.google.com/calendar/u/0/r/settings?pli=1) by clicking on the gear icon near the top-right of the screen, followed by `Settings`
1. On the left-hand-side, under `Settings for my calendars` select the calendar you want to delegate access to
1. Click on `Shared with` followed by `+ Add people and groups`
1. Select the people our groups you would like to add as delegates and the permission level they should have

## Subscribe to Calendars

1. Open [Calendar](http://calendar.google.com)
1. Locate the `Other calendars` section on the left of the screen
1. Click the `+` button and select `Subscribe to calendars`
1. Enter the email address of the user or group whose calendar you'd like to subscribe to
